Invoice History

View past Virtual Shift Ticket invoices and export data to track billing and prevent double payments.

Introduction

The Invoice History page serves as a download-only repository for your historical Virtual Shift Ticket (VST) invoices. It allows you to review past invoices, see which shift tickets were billed under specific system-generated invoice numbers, and export data for auditing and payment control.

By automatically tying history tickets to a unique invoice number, this page helps your accounting team research past work and ensures you do not double-pay for the same ticket.

Navigation: Go to MMS > Virtual Shift Tickets > Invoice History.


Access & Permissions

Access to this page is controlled by your Material Delivery System (MMS) settings.

  • Manage MDS (Full Access): Users with this role can view the Invoice History page, as well as access editable VST pages like Edit, Approve, and Export.

  • Read Only MDS (View-Only Access): Users with this role are restricted to viewing the Invoice History and Virtual Shift Ticket Summary pages, and cannot edit tickets.


Generating Invoice History

The Invoice History page allows you to retrieve and download historical invoices for specific time frames. While the process for generating a report is the same for all users, the data you see is automatically tailored to your specific role and permissions.

How to Generate the Report

  1. Set the Date Range: Use the Start Date and End Date fields to select your desired period.

  2. Generate Report: Click the blue Generate Report button. The table will populate with all invoices matching your criteria that you are authorized to view.


Permissions & Visibility

Your ability to access this page and the specific data displayed is determined by your user role and Access Control Levels (ACLs).

Required Permissions

To view the Invoice History page, your user account must have one of the following authorization roles:

  • Read Only MDS: Allows you to view the Virtual Shift Ticket Summary and Invoice History.

  • Manage MDS: Provides full access to the Virtual Shift Tickets menu, including Invoice History.

User Visibility (Who Sees What?)

The system automatically filters invoice visibility based on whether you are an internal user or a third-party broker. There is no manual filter required.

Visibility Scope

Internal (Parent Company) Users

You have global visibility and can see all invoices across all brokers for the selected date range.

Third-Party / Broker Users

Your view is automatically restricted to your own company. You will only see and download invoices where your company is the billed party.


Understanding invoice versions (.1, .2, …)

  • The part before the dot (e.g., 7522000370) is the base invoice number.

  • The part after the dot (e.g., .1, .2, .4) is the version number of that invoice.

  • When you regenerate an invoice for the same work:

    • FleetWatcher creates a new version (e.g., .2),

    • Marks the prior version as voided, but keeps it in history.

  • In Invoice History, the combination of Invoice Number + Version (.1, .2, …) plus the Voided column tells you:

    • Which invoice version is current, and

    • Which earlier versions have been voided.

Understanding the "Voided" Column

To maintain a strict audit trail and prevent double payments, FleetWatcher tracks when invoices are regenerated.

  • If an invoice is built twice for the exact same truck and shift, the system will automatically mark the older, original invoice as Voided (displaying "Yes" in the Voided column).

  • Instead of deleting the old invoice, FleetWatcher retains it in the history so your team can clearly distinguish the active invoice from the voided one.

  • You should always rely on the active, non-voided replacement invoice for payment.


Exporting Invoice Data

Once you have generated your report, you can export the data to your accounting or ERP systems using the buttons above the table.

  • Download Invoice: Click the blue Download button next to any specific invoice to download the PDF version of that invoice.

  • Print Table: Prints the current view of your generated report.

  • Download CSV / Excel Formatted CSV: Exports the entire generated table into a spreadsheet. The exported file will include the system-generated invoice number for each ticket, allowing you to cross-reference data in your accounting software.
