Define Custom Shift Ticket Export

You can build multiple templates for CSV or PDF exports, ensuring compatibility with your payroll or accounting system.

Introduction

The Define Custom Shift Ticket Exports page allows you to create and customize export templates for your Virtual Shift Tickets (VSTs). These templates control exactly which fields appear, the order they are displayed in, and whether the export is used for standard CSV reporting (like payroll or Viewpoint Vista integrations) or as a PDF invoice layout for hired haulers.

Navigation: Go to MMS > Virtual Shift Tickets > Define Custom Shift Ticket Exports.


Creating a New Export Template

  • Start a New Template: Click the Plus (+) icon at the top of the screen.

  • Name the Template: Enter a clear, descriptive Template Name (e.g., "PR Export - Summary" or "Viewpoint Vista - VST").

  • Select the Type: Choose between Standard (for CSV/Excel exports and general reporting) or Invoice (for PDF invoice layouts).

  • Configure Pay Rate Rounding: Choose between Standard (uses actual calculated pay times) or Round Pay to 1/4 Hour. Enabling the 1/4 hour rounding option will adjust the final Total Hours and Total Charge to the nearest 15 minutes on the exported file.

  • Select Your Fields: Drag and drop your desired data points from the Available Fields column into the Selected Fields column. The top-to-bottom order of your Selected Fields will be the left-to-right horizontal order on your final report.

    • (H) = Header Columns

    • (S) = Summary Columns

    • (D) = Detail Columns

    • (B) = Blank Columns (used for spacing)

  • Save: Click Save. (Note: Recent system updates ensure templates save immediately without loading spinner delays.)


Editing an Existing Template

  • Select the template you wish to modify from the template dropdown menu at the top of the screen.

  • Add, remove, or drag to rearrange your selected fields.

  • If you need to change a template's Type from Standard to Invoice, the system will safely preserve your already-selected fields (such as the Manual Ticket Number) rather than resetting them to blank columns.

  • Click Save Changes to finalize your updates.


Add Blank Column

The Add Blank Column button allows you to manually insert empty columns into your export layout.

Why use it?

  • Spacing and Formatting: Blank columns are used specifically for spacing.

  • Accounting Alignment: If your accounting system (like Viewpoint Vista or a custom Excel format) requires specific data to be in "Column F" but you only have four columns of actual FleetWatcher data, you can use blank columns as placeholders to force your data into the correct horizontal alignment on the final CSV report.

How to identify them:

  • When you add a blank column to your template, it will appear in your Selected Fields list with a (B) next to it at the bottom of the list. This distinguishes it from Header (H), Summary (S), or Detail (D) columns.

  • You can drag and drop these (B) columns within your Selected Fields list just like any other data point to adjust their horizontal order.


Preview Columns

Before saving a new or edited template, you can click the Preview Columns button. This will open an Export Option Preview window, allowing you to visually verify how your chosen headers and data columns will align on the final export.


Mark as PDF Export

When building an Invoice template, you should check the Mark as PDF Export box to lock the template specifically to PDF formatting.

If this box is left unchecked on an invoice template, FleetWatcher restricts the Header section to only include default system fields (such as Shift Ticket Number, Date, and Broker Name), and you will not be able to change their order. Checking the box grants you full customization of the PDF layout.
