Introduction
The Create page is used to manually generate shift tickets for work that is not automatically captured by Load Cycle Analysis (LCA) or scale integrations. This ensures that all hauling activity—including travel time and non-tracked third-party drivers—is maintained in a single, centralized audit log.
Navigation: MMS > Virtual Shift Tickets > Create
Note: Access to this page requires the Manage VST permission. This is an internal-only tool; third-party users and brokers cannot access or edit manual shift tickets.
System Requirements
For manual ticket functions to work seamlessly, ensure the following are configured in your system settings:
Project Types: Necessary for defining line items and cycles.
Custom Equipment Types: Must have a Day/Night Pay Rate Per Hour set to calculate charges.
Zone Analysis Rule Sets: Required to gather travel data based on project-to-project locations.
How to Build a Manual Ticket
1. Header Information
Start by defining the basic parameters for the work day:
Date: Select the date the work was performed.
Truck #: Select the asset from the dropdown menu.
Note: Add any internal context or references for this specific ticket.
Auto-Calculation Fields (Grey Boxes): As you fill out the individual haul rows (explained below), the Total Tons, Total Hours, and Total Charge boxes at the top will automatically populate and update the cumulative totals for the entire ticket.
2. Using "Pull from Scale Tickets" (Optional)
If scale tickets already exist for a specific truck on your selected date, you can use this helper to save time:
Enter the Date and Truck #, then click Pull from Scale Tickets.
In the popup, enter the Start Time and End Time, then click Submit.
FleetWatcher will automatically populate the rows with material names and phase codes.
Note: If a scale ticket's phase code does not exist in your internal tables, the system will automatically create and map it for you during this step.
Best Practice: The "Pre-Check" Method To ensure no tickets are missed—especially if a driver’s exact haul duration is unknown—navigate to the Scale Ticket Summary page first. Filter by the specific Truck # and Date to see the first and last ticket times. Use these timestamps as your Start and End times in the "Pull from Scale" popup to guarantee every load the truck received that day is captured in your manual ticket.
3. Row Details & Pay Rates
Fill out the specific hauling details for the day:
Source & Destination: Use the dropdowns to set the haul route.
Job/Project & Phase: Assign the work to the appropriate project and cost code.
Time & Tonnage: Input the Start/End Times and Tons.
Pay Per: Choose between Hr (Hourly), Ton, or Load.
Pay Rates: These will automatically default based on the truck’s Custom Equipment Type, but you can manually override them. You only need to fill out the specific pay rate fields you are actively using for that ticket.
Saving the Ticket
Once your rows and totals are correct, choose how to save the data:
Add a Row: Use this to manually add another cycle or shift segment to the same ticket.
Save as Open: Saves the ticket to the Open tab on the "Edit, Approve, and Export" page for standard review.
Save as Approved: Bypasses the review stage and saves the ticket as completely finalized.
System Safeguards
FleetWatcher includes built-in safeguards to prevent data entry errors:
Duplicate Ticket Warning: If you attempt to create a ticket for a Truck, Date, and Time range that already exists, a warning will appear. You can click Submit Anyway if the overlap is intentional.
Validation Block: The system will not allow you to save a ticket with zero (0) Total Time or a $0 Total Charge.
Refresh Protection: If you accidentally hit "Refresh" or "Back" after saving, FleetWatcher blocks the action to prevent the generation of a duplicate ticket.
