Introduction:
The Add/Edit Users page allows you to create or edit user profiles & manage access to projects and features. Whether that is an internal worker with full access to everything, field users with just visibility into current jobs, or DOT officers monitoring Scale Tickets, Add/Edit Users is the first step in controlling the access of all users.
Navigation:
To access this feature:
Go to: Manage > People > Add/Edit Users
Opening the Add User Page
To add a new user, start by clicking the green Add New User button in the top left corner of the Add/Edit Users page.
The Add User page will open. By default, the page will always display the currently logged-in user's User E-Mail and Password. This is expected behavior every time you visit this page. You'll need to replace this information with the new user's details before saving.
Use the "Go Back" button to return to the Add/Edit Users page.
Note: * Denotes Required Fields. If required fields are not complete, a warning message will display "The following fields are missing:" and then a list of the missing entries.
Note: The User E-Mail acts as the person's login username for FleetWatcher, so each one must be unique. No two users can share the same User E-Mail. It does not need to be a real, working email address, but we strongly recommend using one.
If the User E-Mail you enter is already in use, an error message appears at the top of the page saying the email already exists in the system. What you typed stays in the form. You can enter a different User E-Mail, or click the link at the bottom of the page to open the profile of the existing user with that email.
Completing the Add User Form:
First Name/Last Name: Enter the user's first and last name.
Company: This field defaults to your organization's main company. If your account includes additional related companies, such as hired haulers or third-party contractors, you can select one of those instead. The number of companies available here depends on your account's setup.
NOTE: Parent company grants full equipment access.
The Company selected here also controls what the user can see. Parent company users can view everything across the account. Users assigned to another company, such as a third-party or hired hauler company, will only see equipment, projects, and other items associated with that specific company.
Equipment restrictions can be made under (Manage > Equipment > Restrict Equipment View.)
Status: Set to Active or Pending.
Active means the user can log in immediately.
Pending means the account has been created, but the user cannot log in yet.
Title: Internal company role.
Employee ID: An optional free-form field customers can use to record their own internal employee ID number, if they have one, as another way to identify the user.
User E-Mail: the email entered here becomes the username for accessing the FleetWatcher site and the FleetWatcher Field app.
This User E-mail is unique to the user profile and can only be used once.
An active email is required for Enrollment.
Alert Email: This email receives notifications from FleetWatcher's alert system, such as equipment idle time or unauthorized movement. If this user is set up to receive alerts, make sure this is a real, active email address. (Manage > Alerts > Create Notifications)
Phone: (Cell) Allows for easy outreach to FleetWatcher staff, and displays on the Add/Edit Users page.
Password: Create a unique 8 digit alphanumeric password.
Force Password Reset: Check this box if you want to set a temporary password yourself and require the user to create their own password the next time they log in.
Send Login/Enrollment Email: Selecting this option sends the user an email allowing them to create their own password, and the Password field above will be ignored. To enroll new users, we recommend using the dedicated enrollment tool instead, found under Manage > People > Enroll Users and Drivers.
Authorization Role: Select an existing Authorization Role from the dropdown. Authorization Roles grant or revoke access to features within FleetWatcher and work independently from Company. While Company determines which equipment and projects a user can see, Authorization Role determines which pages and features within FleetWatcher they're able to access. Roles cannot be created from this page.
A list of Authorization Roles has been created for you to get started.
To add or update roles, go to Manage > People > Authorization Roles.
Save User: Click Save User to complete the user profile.
After clicking Save User, a green confirmation message appears saying the user was successfully added, along with a link to the newly created user’s profile. You’ll remain on the Add User page, so you can continue adding more users without returning to the Add/Edit Users list.
Next Steps:
(No Enrollment E-Mail): Provide the individual with their login username and password to access the site.
(Sent Enrollment E-Mail): Ensure the user received the Enrollment E-Mail you sent to their User E-Mail. Instructions will be sent to the user to complete the user profile and provide the user with the URL to access the login page.
