Introduction:
The Enroll Users and Drivers page allows the company administrator to choose to enroll a Driver or User Manually from the left side of the screen or Bulk Upload from the right side of the screen.
Navigation:
To access this feature:
Go to: Manage > People > Enroll Users and Drivers
Page Info:
In the top right corner of the page you will find a blue box that reads View Unregistered Users Report. This report will display users and drivers that have yet to complete the enrollment process.
The left side of the screen is used to manually enroll individual users or drivers.
The right side of the screen is used to bulk upload a list of users using the CSV template.
Additional Details:
Enrolled Users can only access the FleetWatcher Website and Mobile Field App.
Enrolled Drivers can only access the FleetWatcher Driver App.
The welcome message sent to newly enrolled users and drivers informs them which Mobile App (Field or Driver) to download.
Enroll Users or Drivers by Phone Number or Email:
Users and Drivers enrolled by this form will receive a text with a link to finish self-enrollment by choosing their own login email and password. By completing the self-registration, the user will be set up to log into the website and receive links to download apps.
Users or drivers: Start by selecting Users or Drivers. Each option will present different requirements.
Users require the Authorization Role
Drivers require License Type, License Expiry, and Authorization Type.
Enroll method: Use this to select Email, SMS, or Both.
This selection determines how the individual will receive the enrollment information. Email and Phone Number are required fields.
Name: Enter the First and Last name of the individual.
Email: Enter their email address.
Note: A User's email address functions as their customer login name, and each email address must be unique to ensure proper account access.
Phone Number: Enter a valid phone number.
Drivers can be sent alerts, dispatch requests, and notifications through SMS or the FleetWatcher Driver app.
License Type: Drivers Only: This option allows you to select the type of CDL license for the driver.
License Expiry: Drivers Only: Enter the date the CDL license expires.
Authorization Type: Drivers Only: Used to restrict drivers from operating equipment.
Authorization Role: Users Only: Choose the authorization type based on the user's roll in the company.
Company: Select the company that employs the user or driver.
Select the green “Send Enrollment Message” box to complete the process.
A message will display saying, "User Added Successfully. An email has been sent to (email address). A text message has been sent to (phone number).”
Click the X in the right corner to close the message.
Enrolled User/Drivers Details:
Users enrolled manually or CSV file will receive a text message and email with a link to finish self-enrollment.
The link sent to the user will open a browser window.
The user will choose their own login email and password.
Click Submit.
A popup window will provide links to download the Android or iOS FleetWatcher Field App, or Driver App with a link to the FleetWatcher website.
Message reads: If you are a FleetWatcher User please go to login.fleetwatcher.com or download the Field App. If you are a recently enrolled Driver please proceed with downloading the Driver App and login.
The Users profile is complete once they have signed in.
Enroll Under Company: Bulk Upload
Emails entered here will receive instructions on how to access the app(s) you have flagged under the company selected above. If no apps are flagged the default is driver app only.
Start by downloading the Plain Text CSV from the link provided.
Note: The License Type and Authorization Type fields only accept predefined types. If an undefined License Type or Authorization Type is entered into the CSV file, the record will be marked invalid.
The License Type field is maintained by FleetWatcher and currently available options are CDL Class A, CDL Class B, and CDL Class C.
Authorization Types: Are added on the Add/Edit Authorization Types screen found in the Manage > Equipment menu.
The CSV’s first line must match: LastName, FirstName, Email, Phone
Note: "WebAppFlag, FieldAppFlag, DriverAppFlag, LicenseType, LicenseExpiry, AuthorizationType, SMSFlag, EmailFlag" are additional optional columns for controlling which app(s) the new user has access to.
Complete and Save the CSV file to your computer.
Upload CSV data to enroll:
Drag and drop your file or click the blue Browse button to upload the Plain Text CSV file.
A confirmation message will appear letting you know the number of new users created.
Review the List of Users/Drivers:
After uploading a CSV file, you will have the chance to review the users that have been uploaded. The resulting list is separated into three sections:
List Valid Users - This section contains the users that have been inputted correctly into the CSV.
If you would like to make changes to these users use the 'Edit' button.
List Invalid Users - This section contains users that had errors in the CSV file.
Use the 'Edit' button to correct the line items.
List Used Users - This section contains users in the CSV that have emails associated with other users in FleetWatcher.
These entries are not valid and will be ignored.
Note: Any users not in the 'List Valid Users' section will not be entered into FleetWatcher.
Edit Invalid Users/Drivers:
Click the Pencil button to update (edit) the name, phone or email info.
The Trashcan button will simply delete the entry.
Once ready, click Confirm to proceed or Cancel to abort.
Troubleshooting Invalid Users/Drivers:
If a LicenseType is provided, but a LicenseExpiry is missing, this will make the user Invalid (vice versa as well)
If an Authorization Type does not exist in the database, this will make the user Invalid
If a LicenseType does not exist in the database, this will make the user Invalid
If neither SMSFlag or EmailFlag are True, it will default to SMSFlag being True
If the LicenseExpiry date is not recognizable as a date, this will make the user Invalid
If an Email and/or Phone number is not provided, but the EmailFlag and/or SMSFlag are selected, this will make the user Invalid
The messages that describe why the user is Invalid are displayed when the columns are updated on the Update User model
Unregistered Users Report:
The Unregistered Users page is split into Unregistered Users and Unregistered Users (Legacy) sections.
The Unregistered Users table (top), are those enrolled since this enhancement.
The Unregistered Users (Legacy) table (bottom), displays users and drivers enrolled prior to this enhancement.
It is recommended that dated legacy enrollments are deleted and re-entered as needed.
