Add/Edit Authorization Types

Create and manage Authorization Types to track trained drivers/operators for specific equipment.

Introduction

Authorization Types allow you to label which drivers/operators are qualified to operate certain kinds of equipment, such as pavers, excavators, or vehicles requiring a CDL. These types are then assigned to both drivers and equipment types. When paired correctly, they help provide insight into proper operator use and trigger alerts when unauthorized operation occurs.

Adding Authorization Types does not block a driver from operating a piece of equipment. Instead, the system uses alerts and visibility tools to notify managers and warn operators if mismatches exist.

Navigation

To access this feature:

Go to: Manage > Equipment > Add/Edit Authorization Types

Use This Page To:

  • Create a new Authorization Type (e.g., Excavator, CDL A, Tri-Axle)

  • Edit or delete existing types

  • Connect Authorization Types to Custom Equipment Types and Drivers

  • Enable alerting and reporting around operator authorization

Step-by-step Instructions

  1. Navigate to Manage > Equipment > Add/Edit Authorization Types

  2. Click + Add New Authorization Type

  3. In the popup window, enter the name of the new Authorization Type

  4. Click Save

  5. The new type will appear in the list and become available in related dropdowns

How Authorization Types Are Used

Once created, Authorization Types can be assigned to:

  • Drivers/Operators on the Add/Edit Drivers page

  • Custom Equipment Types on the Add/Edit Custom Equipment Types page

Drivers can be assigned one or more types. Equipment types can also be associated with one or more types to define who is authorized to operate them.

Driver Setup Requirements

On the Add/Edit Drivers page, you will now see:

  • A License Type dropdown (CDL Class A, B, C — editable by FleetWatcher Support only)

  • A License Expiry Date field

  • An Authorization Types field where you can select one or more applicable types

Note: License Type and Expiry Date fields do not restrict driver access or assignment. They are informational only and do not affect alerts or authorization validation.

Custom Equipment Setup Requirements

On the Add/Edit Custom Equipment Types page, an Authorization Types field has been added.

This field allows you to associate one or more Authorization Types with the equipment type. This is how the system determines if a driver is authorized for a given piece of equipment.

Truck Assignment History Report

The Truck Assignment History Report now includes a Driver is Authorized (Yes/No) column.

In order for this column to reflect Yes, you must:

  • Assign Authorization Types to the driver via Add/Edit Drivers

  • Decouple and then recouple the driver to the equipment after making the update
    (If a driver is already coupled when authorization is added, the column will not update until recoupling.)

Alerts

Two new alert types are available to support authorization enforcement via notifications and warnings.

1. Driver Not Authorized

  • Triggered once when a driver is assigned to or starts operating equipment they are not authorized for

  • Works via manual assignment or the Driver App

  • Automatically emails the project contacts (Foreman, Superintendent, etc.) if:

    • The equipment is assigned to a project

    • Those users have valid Alert Email addresses

  • Configurable in: Manage > Alerts

  • After the initial alert, no additional alerts are sent for continued use of the unauthorized equipment

2. Driver Not Assigned To Equipment

  • Triggered when equipment is being operated with no assigned driver/operator

  • Repeats every 10 minutes while the equipment is in use without assignment

  • Stops once a driver is assigned or the equipment stops operating

  • Cannot be snoozed

  • Resolved via the Assign Drivers page or when the driver uses the Driver App to start operating

Driver App Behavior

If a driver selects equipment they are not authorized for:

  • A warning will display in the Driver App

  • They can still operate the equipment, but:

    • If a Driver Not Authorized alert is active, it will be triggered and sent

Important Notes

  • Entering Authorization Types does not prevent equipment from being operated

  • The feature supports alerts and visual warnings only

  • This functionality is not related to the Unauthorized Use alert, which is designed to detect unexpected equipment startup (e.g., theft detection)

The Authorization Type system focuses on who is using the equipment — Unauthorized Use alerts focus on when it's being used.

Example Use Cases

  • Joe doesn’t have a driver’s license on file. He should not operate any company on-road vehicle

  • Fred doesn’t have a CDL. He should not operate any heavy on-road vehicle

  • Sally lacks training for large pavers. She should not operate large pavers

  • Any equipment (excavator, paver, light/heavy-duty on-road vehicle) must have a signed-on driver/operator via the Driver App or Assign Drivers, or alerts will be triggered
