Create Projects in 3 locations. Projects, the Map, and Add/Edit Shifts.

Introduction

A Project represents a specific job or worksite where resources, tasks, and equipment are coordinated to complete a defined scope of work. It serves as a central hub for tracking progress, managing schedules, assigning resources, and monitoring costs.

In FleetWatcher, Projects also serve key system functions: they define geo-zones on the map, and for MMS customers, the Project Number is used to link incoming scale tickets to corresponding Shifts and Virtual Shift Tickets (VSTs).

The Projects page is where you can view, create, and manage all your projects. This article explains each section of the page, what every button does, and how to use the interface to manage project data effectively.

To access this feature:

Go to: Manage > Projects > Projects


The screen will load displaying all Active projects.

Use the quick action buttons on the left to view, edit, or deactivate a project.

  • View Project – Opens the project detail panel so you can review all project settings.

  • Edit Project – Opens the project form for updates. If the project includes a geo-zone, you’ll also see a Show Map button.

  • Deactivate Project – Removes the geo-zone from the map and unassigns all equipment. Historical data is preserved and the project can be reactivated at any time.

Use the Filter and Download buttons in the top right corner of the screen to Search, Show or Hide Columns, Show or Hide Filters, Export PDF, or Export CSV.

Projects

  • Create a new Project: Start a new project by clicking on +New.

  • Create a new Project Type: Click on Project Types, then click +New.

Navigate to: Manage > Projects > Projects

Note: (*) Required.


Create a Project:

Start by clicking the red +New button in the top left corner. A pop-out window will open on the right side of the screen.

  1. Project Name*: This name will display on shifts, reports, and Geo-zones.

  2. Project Number*: Identifies jobs and links scale tickets on Today's Shifts.

    1. NOTE: First troubleshooting steps: if the customer is reporting the tonnage and load counts are not displaying on Today's Shift. Verify scale tickets are using the same FleetWatcher Project Number.

  3. Project Type*: Select the type of work. VST Rulesets are based on Project Types.

  4. Timezone*: Automatically selected based on the customer's region.

  5. DOT Project: Use to identify/flag DOT related jobs. Scale tickets can be forwarded to the state when the DOT checkbox is checked.

  6. Display Status*: Set the status to Active.

  7. Click Save Project.


Adding Phase Codes to an Existing Project:

  1. Navigate to Manage > Projects > Projects

  2. Find the project by using the search icon in the top right corner

  3. Click on the pencil icon to Edit the project details

  4. A side panel will appear on the right side of the screen

  5. Click on Phase Code to enter a new phase code

  6. Press Enter, Once you have entered in the new phase code you will need to press the enter key on your keyboard to add the phase code

  7. Click Save Project and a notification will appear at the top "Project (Project Name) saved successfully"

Project Type:

Project Types help classify and organize your projects within FleetWatcher. Assigning the correct type ensures accurate reporting, filtering, and system behavior across all features. Whether you’re using Virtual Shift Tickets (VSTs), tracking material deliveries, or simply monitoring project activity, properly labeled Project Types help the system recognize how each project should behave.

Why Project Types Are Important:

  • Ensure projects appear correctly in reports and dashboards.

  • Help define how sources and destinations are displayed for all workflows, including material movement tracking.

  • Support system features like automated cycle calculations and shift tracking.

  • For customers using VSTs, Project Types also play a key role in time and billing accuracy.


Special Project Types: “Other” and “Unauthorized”

  • Other

    • Use this for locations that should be tracked but don’t directly impact billing, material delivery, or production metrics—such as shops, maintenance facilities, or staging yards.

  • Unauthorized

    • Assign this to locations where trucks are not allowed to stop during working hours.

    • When combined with system features like driver activity tracking, unauthorized stops can be flagged for management review.

Note: While Virtual Shift Tickets rely heavily on Project Types for accurate time and billing calculations, it’s important to set Project Types correctly for all projects, even if VSTs aren’t in use.


Create a Project Type:

  1. Select the Project Types button to open the Project Types window.

  2. Click the red +New button.

  3. Enter the Project Type Name.

  4. Select the Project Type Category from the drop down.

  5. Click Save.

    1. Close the window by clicking the Close text at the bottom of the window.
