Introduction:
FleetWatcher’s Materials Management Solution (MMS) allows you to track the productivity and efficiency of your paving, milling and other material hauling jobs in real-time.
Requirements: A FleetWatcher device coupled to each piece of equipment on the job you are monitoring.

To access this feature.
Go to: MMS > Shifts > Add/Edit Shifts.
INFO:
Job Name: The term "Job Name" is used to identify a specific task or type of work that is being done. This information is typically displayed at the top of a shift card, which provides an overview of the day's schedule or roster. By clearly identifying the job name, it becomes easier to keep track of tasks and ensure that everything is completed efficiently and effectively.
Company: This will default to the parent company. When using Divisions, users can select the Division here. FOB shifts will use the company of the purchaser.
Dispatch Only: To accommodate recurring shifts that customers just want for dispatch purposes, the page has a checkbox labeled Dispatch Only. When checked for a shift, the shift’s display is limited to Scheduled Shifts and all Dispatch pages (Order Dispatch, Fulfill Dispatch, Day of Actuals, Dispatch Request, and Dispatch Assignment).
Dispatch Only shifts will not display on Today's Shifts, Completed Shifts, Real-Time Scoreboard, Exec Scoreboard, MMS Job Summary, First Load of Shift, Shift End Date Report, or the Shift Note Report.
Note: This is not to be confused with the existing Only Dispatch Trucks checkbox which limits the display of trucks for the shift (including LCA) to just those trucks that were dispatched.
Match Using Company: Match scale tickets using shift's selected company. By Selecting this checkbox you will enable FleetWatcher to match using Company.
Scale Ticket's customer ID or Customer Name will be compared to your selected company's Scale Customer Alias.
Only scale tickets that match the selected company will be included on this shift. All others will be ignored.
NOTE: This functionality does not replace matching on JobID or Project.
Where:
Identify the source and destination of the job.
In the drop-down menu you will find a list of all active Geo-zones and equipment with a Geo-Radius. Select the appropriate source and destination Geo-zones based on the start and end points. Once you have selected the source and destination Geo-zones, the FleetWatcher devices will recognize each geo-zone and determine if the truck is part of the shift by completing the cycle (Source to Destination and back to Source)
It's important to note that each shift will track the cycle times of each truck based on the Source and Destination or issued scale tickets. This information is crucial for optimizing the efficiency of your fleet.
For example, a paving shift would have the Asphalt Plant as the source and the Paver as the destination, while a milling shift would have the Mill as the source and the dump site as the destination. Aggregate hauls would use the Quarry as the source and the Asphalt Plant as the destination.
Source Geo-zone: Starting Geo-zone
Destination Geo-zone: Ending Geo-zone
Project: This list is populated from the View/Edit Project where the user created Projects to identify the type of work being performed.
Note: If you have not created a Project from the View/Edit Project screen you may click on Add New Project to create a New Project. Click Edit to edit any existing Projects.
Geozone Outer Radius (Feet):
Geo-Zone NOTE: If an Asphalt Paver or Mill is selected as a Source or Destination additional options will appear.
Destination Geo-zone Outer Radius(Feet): This is the Outer Geo-zone Radius for your pavers and mills. This radius should capture the length of the paver and a dump truck combined.
The default setting is found in the MMS Controls page.
NOTE: Paver or Mill Inner Radius is set in the Add / Edit Equipment page.
Who:
Identify crew members working on the job. Optional.
Select employees that are working on the job by adding their name from the dropdown list.
Usernames are populated by the Add/Edit Users page.
If this information is completed on the Project level, use the “Fill in contacts from the current Project” to populate the individuals.
Selected names will appear at the top of the shift card on Today's Shifts.
The individuals selected will receive the First Load Notification Alerts for each shift they are assigned to.
Note: To receive the First Load Notification Alerts, the notification is sent to any and all contacts setup for the Shift's Project. The Project's Foreman, Superintendent, and Manager will receive the notification, as well as the Other 1 and Other 2 Project contacts. Use Fill in contact from the current project.
Additional Functionality based on hierarchy:
In addition, these contacts can be easily changed daily using the Update A Shift pop-up when editing (edit) a shift (available on the Today’s, Scheduled, and Completed Shifts tabs).
Changing the contacts using this method will not change the contacts on the overall shift (a.k.a. the Shift Template), meaning these contacts can be changed from day-to-day without affecting the main contacts.
The contacts for the notification are hierarchical: the individual shift’s contacts are primary, the overall shift’s (shift template) contacts are secondary, and the project’s contacts are used if shift contacts are unpopulated.
If there are no contacts at a certain level, the system will look for contacts at the next level.
If two different contacts are set for the same contact type (e.g., Supervisor), it will follow this hierarchy. For example, if Bob and Joe are both set as Foreman, but Bob is set as the Foreman on the Shift Template and Joe is set as the Foreman on the individual (currently active) shift, then the notification will only be sent to Joe.
When:
Enter a date range for the shifts to be created. You will then have the option to select/deselect specific work days within that range.
Note: All dates are based on the date the shift will start on, not end on.
Example: The last shift you wish to add will start at 10:00 pm on July 15th and finish at 6:00am on July 16th. The last date to select will be July 15th because the shift will START on that date.
Single Day: Choose the start date, set the hours of the shift, then select Day or Night period.
Date Range: Enter shift date range, set the hours of the shift, then select Day or Night period.
Shift Periods:
If Use Day Period is checked, the shift will follow the Day Start and Day End times.
If Use Night Period is checked, the shift will follow the Night Start and Night End times.
At least one of these checkboxes must be selected for the shift to be valid.
Most companies schedule shifts during the day, so the Use Day Period checkbox is commonly selected.
What:
Shift Cycle Type: Choose between MMS (Material Management Solution) or CMS (Construction Management Solution). The default setting is found on the MMS Controls page section Shift Defaults, Default Shift Cycle Type.
This setting will apply the selected default (MMS or CMS) to all created shifts in the Shift Cycle Type field.
The field may be changed per shift from the default value as needed.
Exclude Geo-zone: Hides geo-zones from the LCA Graph by clicking in the checkboxes. Use If trucks are driving through job geo-zones you do not want to see on the LCA graph.
Mobile App users can also exclude all geo-zones when editing a shift.
Exclude Equipment: Hides Equipment from Shift. If trucks are not part of the shift and you want to hide trucks from the LCA graph, click the checkbox to hide the equipment.
Current Excludes: List of excluded geo-zones (shift specific)
Material Type: Free Form field (Optional) for customers without scale integration. If the customer is scale integrated the material name is pulled from the scale ticket and displayed on the shift card.
Phase Code: Is a Freeform field to add additional information to your shift.
Click Edit/Delete Phase Codes to manage all previously saved phase codes.
Match Using Phase Code: By selecting this checkbox you will enable FleetWatcher to match phase codes entered on scale tickets and provide a second separation of total tonnages and load counts.
The Scale Ticket phase code will be compared to the phase codes entered in the Phase Code text box.
Only scale tickets that match the phase code(s) will be included.
This functionality does not replace matching on JobId or Project.
Override Phase Code from Scale Tickets on Virtual Shift Tickets: allows users to have the shift’s phase code override the phase code from the scale ticket(s) on Virtual Shift Tickets.
This is useful when trucks are working multiple shifts in a single day or night. Such VSTs will reflect the Shift Phase Code(s) rather than those set by Scale Tickets for the Trucks.
Simply, mark the checkbox and save to enable this function for the VSTs associated with a particular shift. Marking this checkbox will impact all past, current, and future shifts depending on how the update is saved for the shift by the user.
Marking the checkbox on the Update a Shift pop-up from Today’s Shifts or Completed Shifts will only impact the particular day/night shift edited. The phase code column on subsequent shift tickets (VST quick edit, full edit, and exports) will then reflect the shift’s phase code rather than the phase code from the scale ticket related to that cycle (row).
Note: The phase code for each cycle (row) may still be manually changed using the VST full edit screen.
DOT: Allows DOT access. DOT shifts will send scale tickets to respective states.
DOT Integration is required.
Reverse Cycle: Supports Milling and Agg Jobs. When button is activated, the shift considers the Plant as the Destination and the Jobsite as the Source
Only Dispatched Trucks: limits the display of trucks for the shift (including LCA) to just those trucks that were dispatched. Like the KPIs this checkbox will carry forward to the next shift until unchecked.
How:
This section is for customers using VSTs. Default Clock In/Out rates are entered on the MMS Controls page and Default Equipment rates are entered on the Add/Edit Custom Equipment Types page.
Rate Type:
Pay Per Hour (Use Custom Equipment Type Rates): Defaults to the Custom Equipment Type Hourly pay rates.
Pay Per Hour (Override Custom Equipment Type Rates): by selecting one of the following. Once selected, a box will appear to enter the new rate.

Override Custom equipment Type Bill Rate: Select Bill Per Hour, Ton, or Load then select the checkbox. This will open a Bill Rate (Day/Night) field where you can enter the rate.
Company Owned Clock In/ Clock Out:
Use geo-zones to set Clock In/Out rules for your equipment.
Set VST clock in/out parameters for Company trucks.
For Example: The job hours are 7 am to 5 pm, and trucks start at the Asphalt Plant and end at the jobsite Geozone. Trucks will receive payment for a -15 minute pre-trip inspection and a 20 minute post-trip travel.
Set the parameters as follows:
Clock In Geo-zone: Asphalt Plant
Clock in Offset: -15
Enter or Exit: Enter
Clock Out Geo-zone: Jobsite
Clock Out Offset: 20
Enter or Exit: Exit
Total Time; 6:45am - 5:20pm
Hired Hauler Clock In/ Clock Out:
Use geo-zones to set Clock In/Out rules for your equipment.
Set VST clock in/out parameters for Hired Haulers here.

Shift Ticket Defaults:
Preselect the Zone Analysis Rule Set for each shift with a minimum number of hours.
KPI Targets:
KPIs set here will only be used for the first activated shift. From then on they are always copied from the previous shift date. Note: Adjustments made “today” will carry forward to the next day.
Estimated Tons: Enter the estimated tons for the shift.
Tons per Hour (TpH) - Crew: Measures the (average) number of tons dumped per hour from Shift Start to the current time (Active Shift) OR Shift End (Completed Shift). The target for this KPI is set on the Shift.
Tons per Hour (TpH) - Truck: Measures the (average) number of tons dumped per hour from first load to latest dump (Active Shift) OR last dump (Completed Shift). The target for this KPI is set on the Shift.
Last Hour: Last Hour measures the tonnage dumped within the last 60 minutes (current time - 60 minutes). For example, if the current time: 4:04 PM and dumps have occurred at 8:32 AM, 9:13 AM, 10:23 AM, 2:58 PM, 3:24 PM, 3:48 PM, and 4:03 PM, the Last Hour will include the tonnage total for the three dumps occurring between 3:04 PM and 4:04 PM.
Note: This is different than the Tons per Hour (TpH) - Crew and Tons per Hour (TpH) - Truck KPIs which measure the average tonnage per hour as of the shift start time until the current time. See above.
Feet per Minute (FpM): Measures the distance traveled per minute by the paver (Destination) designated on the shift.
Cycle Time (Minutes): The average cycle time (load to load), in decimal minutes, across all trucks, Scale Ticket to Scale Ticket. The final cycle of the day, where there is not a subsequent Scale Ticket, is calculated from the last Scale Ticket to the recorded Dump Time +/- the Clockout Offset (See MMS Controls). The target for this KPI is set on the Shift.
If a truck works more than a single shift during the day or night (i.e. they receive a scale ticket for a different job or simply visit a different source or destination), the truck's cycle time is calculated by adding a partial cycle to the shift left for another job (considering current Clock-In and Clock-Out settings). Cycle time doesn't consider source or destination, just that an assigned scale ticket matches a shift.
At Source Time: The average of all the time, in decimal minutes, Trucks spent waiting at the Source before being loaded. The Target is set in MMS Controls and applies to all Shifts.
At Dest Time: The average of all the time, in decimal minutes, Trucks spent waiting at the Destination before dumping the load. The Target is set in MMS Controls and applies to all Shifts.
Trucking Cost per Ton (TCpT): Measures your total trucking cost against the total tonnage put down from Shift Start to current time (Active Shift) OR Shift End (Completed Shift). The target for this KPI is set on the Shift.
Important Note: Scale Ticket Integration is required for the KPIs above to work as documented.
Mainline Paving Calculator Shift Settings (Paving Shifts Only):
This feature is designed for mainline paving shifts with a paver set as the destination.
The DYC allows paving shift managers and foremen to track and ensure that the mat is being laid down correctly and within specifications, including the correct width, weight, and depth.
The DYC feature provides real-time calculations of the mat's yield based on current paving conditions, allowing you to make necessary adjustments on the fly to ensure optimal efficiency and quality.
First Enter to Last Enter/Exit Geozone TCpT Calculation Settings:
Set the default clock-in/out rules for TCpT calculations. The TCpT Report can be found on all Completed Shifts.
Activate:
Once you have completed the above sections, Three blue boxes will appear at the bottom of the page.
Activate Shift: Activates the first shift based on the start date.
Save and Activate Later: Select to save the shift details and activate at a later time using the Scheduled Shifts page.
Activate Shift and Order Dispatch: Click here to Activate shift and start the Dispatch order.
Understanding the “Edit Past Shifts?” Prompt
When editing an existing shift, you’ll encounter a prompt asking whether your changes should apply to past, current, and/or future shifts. This window appears after you scroll to the bottom of the edit screen and click the Edit Shift button. The three options you’ll see are:
Change Past, Current, and Future Shifts
Change Current and Future Shifts
Change Future Shifts Only
We strongly recommend that customers avoid selecting the option to change past shifts, except in rare, deliberate cases. FleetWatcher maintains the full history of all shifts for every customer—past data is preserved permanently for audit and traceability. Editing past shifts may retroactively alter project records, reports, or dispatch logs in ways that are difficult to track and unintended by your team.
If you’re trying to correct a setting such as Source or Destination so that it carries forward automatically, it’s important to understand how those edits are made.
When a dispatcher updates an active shift live, those changes should automatically carry forward to the next day. However, if the change is made through the Add/Edit screen, it's essential to use the correct save option. Selecting “Change Future Shifts Only” ensures the new Source or Destination is used going forward, without altering prior shift records or affecting in-progress shifts.
If you find that updates aren’t saving as expected, we recommend reviewing your editing method or contacting support to ensure your process aligns with system behavior. Maintaining data integrity—especially for shift history—is key to reliable reporting and system function.
