How to Deactivate a Project

Learn how to deactivate a project in FleetWatcher, what happens when you do, and when it’s appropriate to use this option.

Introduction

Deactivating a project in FleetWatcher is the best way to retire a job that’s no longer in use—without deleting its history. This action hides the project's geo-zone, unassigns its equipment, and prevents it from being selected for new shifts, while keeping historical data intact.

Use this guide to understand how to safely deactivate a project and what system behavior to expect.


Navigation

To access this feature:

Go to: Manage > Projects > Projects

Click the Deactivate icon on the left side of the project you want to deactivate.


Step-by-step Instructions

  1. Locate the Project

    • Find the project you want to deactivate in the project list.

    • Use the search bar or Clear Type Filter button if needed.

  2. Click the Deactivate Icon

    • On the left side of the project row, click the 🚫 Deactivate icon.

  3. Review the Pop-Up Warning

    • A confirmation message will appear showing how many pieces of equipment are currently assigned to the project.

    • You’ll be given two options:

      • OK – Proceeds with deactivation and automatically unassigns all equipment.

      • Cancel – Stops the process with no changes made.

  4. Confirm Deactivation

    • Click OK to complete the process.

    • The project is now inactive, and its geo-zone is hidden from the map.


What Happens When You Deactivate a Project?

  • 🚫 Geo-zone is hidden

    • The zone will no longer appear on the map, but is not deleted.

    • It will reappear if the project is reactivated.

  • 🔄 Equipment is unassigned

    • All equipment currently assigned to the project is moved to the Unassigned project.

    • These moves are logged on the Move Equipment page, including the date and time.

  • 📂 Project becomes read-only in active use

    • It will no longer appear in dropdowns for creating new shifts or assignments.

    • However, historical shifts and tickets tied to the project are still visible in reports and search.


How to View Inactive Projects

  • Use the Inactive checkbox on the Projects page (beneath the chatbot icon) to show deactivated projects.

  • To reactivate a project, click the Edit (✏️) icon and set the Display Status back to Active, then click Save Project.


When Should I Deactivate a Project?

✅ Best reasons to deactivate:

  • The job is complete and no longer needs to receive shifts or equipment.

  • You want to preserve data but clean up your active project list.

  • You no longer need the geo-zone to appear on the map.

🚫 Avoid deactivation if:

  • You still have active shifts assigned to the project.

  • You need to continue tracking geo-zone activity for reporting or alerts.


Deactivating a Project (Older UI)

If you’re still using the older interface, you’ll find the Deactivate control in the View/Edit Project page.

Here’s how to do it:

  1. Go to: Manage > Projects > View/Edit Project

  2. In the Choose Project dropdown, select the project you want to deactivate.

  3. The project’s details will display on the screen, including contact roles and other info.

  4. Find the Display Status dropdown.

    • It’s located in the Display section below the project’s core details.

    • It will say either Active or Inactive.

  5. Change the Display Status to Inactive.

  6. Click the Submit button at the top of the form to save your changes.

✅ The project will now be deactivated:

  • Its geo-zone will be hidden from the map.

  • All assigned equipment will be automatically moved to Unassigned.

  • Historical shift and ticket data will be preserved.
