Edit Information

Update company info, set PM thresholds, restrict access, & customize UDF labels in FleetWatcher.

Introduction

The Edit Information page allows administrators to manage company-level settings including contact details, preventative maintenance thresholds, user/equipment visibility restrictions, and optional UDF labels. This page is typically populated during account setup but can be updated at any time.

Navigation

To access this feature:

Go to: Manage > Company > Edit Information

Use This Page To:

  • Update your company name, address, and contact information

  • Set PM Warning Thresholds based on hours, miles, or days

  • Enable or disable the Restrict New Users and Equipment setting

  • Define optional UDF Labels for use in equipment-related reports

Company Information Section

Fields available:

  • Company Name

  • Shift Ticket Company Name (defaults to Company Name if left blank)

  • Contact Name

  • Contact Email

  • Phone Number

  • Fax Number

  • Address

  • City, State, and Zip Code

  • Company Website URL

These fields are initially populated during account creation. You can update them as needed and click Save My Company Data to apply your changes.

Restrict New Users and Equipment

This optional checkbox controls visibility for newly added records.

When checked:

  • Any new user profile created will be restricted from viewing any equipment by default

  • Any new equipment entered in the Add/Edit Equipment screen will be hidden from all users by default

To assign visibility after restriction:

  • Use the Restrict Equipment View screen to manually assign user access

Note: According to internal guidance (Luis), this setting is useful for cases like:

A CEO user profile or personally-owned company vehicle can be hidden from view across the organization by default.

PM Warning Thresholds

Use this section to configure the criteria for showing equipment in the Maintenance Due report.

You may enter:

  • PM Warning Threshold (Hours)

  • PM Warning Threshold (Distance)

  • PM Warning Threshold (Days)

Each value represents how close the equipment is to its next maintenance interval based on its meter type. Once this threshold is met, the unit will appear in the Maintenance Due report.

UDF Labels

Click the UDF Labels dropdown to customize up to 16 User-Defined Field names used throughout FleetWatcher.

  • Labels are optional — any blank fields will remain labeled as “UDF #”

  • Each label can include letters, numbers, or symbols (25-character limit)

  • UDFs appear in multiple reports and screens once labeled

Where UDF Labels Appear

Once defined, these custom UDF names will replace “UDF #” in the following places:

  • Add/Edit Equipment

  • Equipment Inventory Summary

  • Summary Productivity

  • Single Day Productivity

  • Maintenance Due

  • Adjust Meters

  • Driver Assignment

  • Equipment RPM
