Create Notifications

To create a new notification in FleetWatcher, follow the steps below to configure when and how alerts are sent based on equipment behavior.

Introduction

The Notifications feature in FleetWatcher allows you to send real-time alerts based on equipment behavior, helping your team respond quickly to issues like unauthorized use, excessive idling, or maintenance needs. This guide walks through how to create a new notification using the redesigned Add/Edit Notification page, including setting the trigger type, selecting recipients and equipment, and configuring optional features like schedules, custom messages, and conditions. Notifications can be as simple or detailed as you need. Start with defaults, or tailor them to match your specific workflow.


Navigation

Go to Manage > Alerts > Create Notifications to open the Add/Edit Notification page.


Company:

At the top of the Add/Edit Notification page, you’ll select the Company for which this notification will apply. This is a required field and determines which users and equipment are available to configure the rest of the form.

What this selection controls:

  • Equipment Filter: Only equipment assigned to the selected company will appear in the Equipment Selection section below.

  • User Filters: The following recipient fields are filtered based on the selected company:

    • Email Recipients

    • SMS Recipients

If no users are assigned to the selected company, both the Email Recipients and SMS Recipients fields will appear grayed out and unavailable. You must assign users to that company in the system before they can be added as notification recipients.

Note: You can assign multiple types of recipients later in the form, but all recipient options are scoped to the company you choose here.


Activation and Naming:

Once you’ve selected a company, the next step is to define whether the notification is active and give it a clear, descriptive name.

Active Toggle

Use the Active switch to control whether this notification is currently enabled.

  • When set to Active (blue), the notification will begin monitoring and sending alerts immediately after it is saved.

  • When set to Inactive (white), the notification will be saved but will not trigger until you toggle it active later.

You can create and save notifications in an inactive state, which is useful for drafting or preparing tiered alerts that should go live later.


Name

Enter a name that clearly describes the purpose of the notification. This is how it will appear in the Notifications list and helps distinguish between similar alerts.

Best practices:

  • Keep names short but specific (e.g., “Excavator Idling > 30 Min” or “Unauthorized Use – Night Shift”)

  • Use naming conventions if you plan to build tiered or grouped notifications

  • Avoid generic names like “Test” or “Alert 1” to ensure clarity for your team


Notification Type:

The Notification Type determines the condition or behavior that will trigger the alert. This field is required and directly affects what configuration options appear below it.

How it works:

  • The field defaults to Battery Disconnected.

  • Clicking the dropdown reveals a list of all available Notification Types.

  • Once selected, the form will update dynamically to show only the fields relevant to that specific type (e.g., speed thresholds, repeat intervals, or none at all).

Some Notification Types require additional setup, while others do not. Make sure to review the options that appear after you choose a type — these may include:

  • Threshold values (e.g., minimum speed)

  • Repeat intervals

  • Conditional filters

Excessive Speed

Monitors speeding violations based on configured speed thresholds.

Packet Detected

Sends alerts when a specific “whyid” packet is received.

Monitors equipment temperature sensors and alerts when a reading falls below a set Low Limit or reaches/exceeds a High Limit.

Triggers when a piece of equipment has been in a project for too long.

Unauthorized Use

Detects activity outside working hours or geozone.

Repeat Interval:

The Repeat Interval field defines how often a notification will re-trigger while the condition is still true. This prevents the system from sending too many alerts in a short period.

When this appears:

  • This field is only visible for certain Notification Types (see table above).

  • If the selected type supports repeated alerts, the Repeat Interval will appear directly below the Notification Type.

How it works:

  • Enter the minimum number of minutes between repeated alerts.

  • The condition must still be active for the alert to repeat.

  • Minimum value: 1 minute

  • Maximum value: (Not defined — use reasonable intervals to prevent alert fatigue)

Example: If you set a Repeat Interval of 5 minutes for a Low Battery notification, recipients will receive an alert every 5 minutes while the low battery condition remains active.


Recipients:

This section defines who will receive the notification when it is triggered. You can assign one or more recipients across several channels and roles.

Recipient Options

Each recipient type is represented by a checkbox. You can mix and match to ensure the right team members are alerted.

Project Roles

Sends to users assigned to roles in the project: Foreman, Superintendent, Project Manager, Other1, Other2

Email Recipients

Allows selection of specific FleetWatcher users assigned to the selected company. A list will appear when you click into the box.

SMS Recipients

Allows selection of FleetWatcher users with SMS numbers on file. Also filtered by the selected company.

Additional Email Addresses

Lets you manually enter email addresses that are not tied to FleetWatcher user profiles.

If no users are assigned to the selected company, Email Recipients and SMS Recipients fields will appear grayed out.


Can Snooze

You can optionally define which users are allowed to snooze this notification — temporarily disabling it from sending alerts for a period of time.

  • This applies only to FleetWatcher users (not external email addresses).

  • Users selected in this field will see a Snooze option when they receive a notification.

  • Snoozing affects only the individual user’s alerts — others will continue to receive them as normal.


Custom Email and SMS:

Optional Feature:

You do not need to enable this to send notifications. Each Notification Type includes a default email and/or SMS message that will be sent automatically.

Use the custom message options only if you want to personalize the subject line or body with additional detail.

By default, FleetWatcher will send a standard system-generated message when a notification is triggered. If you want more control over how these messages are worded, you can enable the Custom Email or Custom SMS options.

These features let you write your own subject lines and message bodies — with or without dynamic fields.


Use Custom Email

Toggle Use Custom Email to ON if you want to define your own subject line and body for the email notification.

  • You can enter plain text or include dynamic fields (see below).

  • If left OFF, the system will send a default email format.


Use Custom SMS

Toggle Use Custom SMS to ON if you want to customize the body of the SMS alert.

  • SMS messages support plain text and dynamic fields, but subject lines are not supported.

  • If left OFF, the system will send the default SMS message.


Custom Properties (Dynamic Fields)

To personalize messages with data from the equipment or notification, click Custom Email Properties or Custom SMS Properties above the message editor.

This will open a popup with available dynamic fields, such as:

  • equipment.assetname

  • notification.name

  • project.name

  • trigger.speed

  • ...and more

How to use them:

  1. Click the red icon next to a property to copy it.

  2. Close the popup.

  3. Paste it into your custom message.

Repeat as needed — there is no limit to how many fields you can use.

Tip: These fields will automatically populate with live data when the notification is sent.


Equipment Selection:

Each notification must be assigned to one or more pieces of equipment. This determines which assets will be monitored for the condition you’ve selected.

How it works:

  • The equipment list is filtered by the Company selected at the top of the form.

  • You can assign the notification to:

    • A single unit

    • Multiple units

    • All available equipment

Note: Notifications are tied to the equipment name, not the physical GPS device. If the tracking unit is replaced, the alert will still apply as long as the equipment name stays the same.


Finding Equipment

You can use filters at the top of the section to narrow the list:

  • Search by name or partial match

  • Filter by Equipment Type

  • Filter by Project

  • Toggle: Show Selected Records Only — helps review which equipment you’ve already selected

Bulk actions:

  • Select All or Select None buttons allow for quick assignment or clearing


Schedule

Use the Schedule grid to control when the notification is allowed to send alerts. This is useful if the alert should only apply during work hours or on specific days.

Default Behavior:

  • All time blocks are ON (🔴 red) by default — alerts will trigger 24/7 unless changed.

  • The grid displays each hour of the day (12am–11pm) across all 7 days of the week.

If a behavior occurs during a white (OFF) block, the alert will be suppressed — no message will be sent.


How to Adjust the Schedule

You can click individual blocks or use quick tools to adjust entire rows/columns:

Tip: If you’re unsure, leave the default schedule active (24/7) to start. You can fine-tune it later if needed.


Submit and Save

Once you've completed all required fields for the notification, click Submit to save it.

What happens when you click Submit:

  • The system will check for missing or invalid fields.

    • Any required fields that are incomplete will be highlighted with an error message.

  • If all fields are valid, the notification will be saved and you’ll be returned to the Notifications List page.


After Saving

Your newly created notification will appear on the View Notification page with the following details:

You can return at any time to edit a saved notification or toggle its active status.


Additional Conditions (Optional)

Advanced Option

Most users do not need to add conditions. Use this feature only if you want to further narrow when an alert should trigger, beyond the basic Notification Type settings.

Conditions allow you to create rules that must be met for the notification to fire — based on things like speed, project assignment, or other equipment activity.


How Conditions Work

  • Conditions apply in addition to the selected Notification Type.

  • The notification will only trigger if both:

    1. The Notification Type behavior occurs (e.g., equipment is idling)

    2. The condition(s) you define are true

Example:

You’re creating a “Not Moving” alert, but only want it to trigger if the equipment is assigned to a specific project and running longer than 15 minutes.

You can build both conditions into the alert.


Adding Conditions

  1. Use the dropdown to choose whether All or Any conditions must be met.

  2. Click Add Condition to create a new rule.

  3. Choose from available condition types, such as:

    • Equipment Speed

    • Time in Project

    • Assigned Project

    • Driver Assignment

    • Geozone Location

    • ...and more

  4. Set your logic (e.g., Speed > 30 MPH) and add additional conditions if needed.

You can remove any condition at any time using the trash can icon.


Reminder:

A notification must still have at least one piece of equipment selected for any conditions to apply. If no equipment is selected, the notification will not trigger — even if all conditions are true.
