Add / Edit Companies

Use this page to add or edit company details.

Introduction:

The Add/Edit Companies feature in FleetWatcher helps distinguish between equipment and users belonging to your organization versus those associated with another company. By identifying and managing these companies, you can:

  1. Control Visibility: Limit access so third-party companies only see their own equipment.

  2. Organize Data: Retrieve and analyze data specific to a particular company with ease.

This ensures secure, streamlined operations while maintaining data integrity across your FleetWatcher system.

Navigation:

To access this feature:

Go to: Manage > Company > Add/Edit Companies.


When you navigate to the Add/Edit Companies page, a list of all previously entered companies will be displayed, including both active and inactive companies, as well as any associated Customer Aliases. The primary company will appear without a delete option. You can:

  • Edit: Make changes or manage aliases.

  • Delete: Remove a company (consult your CSS contact beforehand to avoid system errors).


Adding a Company in FleetWatcher

To add a new company:

  1. Start Adding a Company:

    • In the top-left corner, click the grey "Add New Company" button.

    • A popup window will appear at the center of the screen.

  2. Enter Company Information:

    • Company Name: Enter the name of the company.

    • Company Number: Input the billing number for the company.

    • Company Type: Select the type of company (configured under Add/Edit Equipment Company Types).

    • Company Status: Choose between:

      1. Active: The company is selectable when adding equipment or users.

      2. Inactive: The company remains in the system for historical data but is unavailable for new entries.

    • Logo: Choose the company’s logo from the dropdown menu. Logos appear on invoices.

      1. To upload a new logo, go to Manage > Scale Tickets > Logo Upload.

    • Contact Email:

      1. Required if the Require Broker Approval for Shift Tickets (VSTs) checkbox is enabled in Shift Ticket Settings under the MMS Controls screen.

      2. Virtual Shift Tickets for brokers without a valid contact email will trigger a warning pop-up, listing companies missing an email.

  3. Set Additional Company Parameters:

    • AM/PM Trucks: Specify the number of trucks allotted for third-party companies in dispatch orders by filling the AM and PM Truck fields.

    • Hired Hauler: Enable this option to apply the Hired Hauler Clock-In/Clock-Out settings for shifts.

      1. Default settings are located on the MMS Controls page.

    • Auto Create Projects/Shifts from Scale Tickets:

      1. Enable this checkbox to allow FleetWatcher to automatically create projects or shifts based on scale tickets containing the Customer ID (added under Manage Aliases).

      2. If a matching project/shift exists, scale tickets will be attributed to the existing project/shift instead of creating duplicates.

      3. The Manage Aliases button is not visible

    • Note: The Manage Aliases box is only visible for previously created companies. For new companies, the user must first save the company, reopen the company details by clicking Edit, and then the Manage Aliases option will appear.

  4. Save the Company:

    • Click Save to finalize the new company entry.

Important Notes:

  • Ensure all required fields are completed accurately.

  • Virtual Shift Tickets functionality depends on a valid contact email for brokers.

  • Historical data is preserved for inactive companies but is no longer selectable in active workflows.


Edit a Company:

  1. Locate the company and click the Edit button on the far left side of the window.

  2. The edit company popup window will appear.

  3. Update company details.

  4. Click Save when finished.


Manage Aliases:

Manage Aliases link scale tickets to a company’s profile. Adding the alias provides 3rd party logins access to scale tickets issued under the Customer ID and auto create Projects and Shifts.

Steps to Add an Alias:

  1. Click Manage Aliases (visible after creating a company profile).

  2. Enter the Customer ID in the Add box.

  3. Click Add and then Save.

Finding an Unknown Customer ID:

  1. Go to Scale Ticket Summary and search for the customer name.

  2. The Customer ID will appear to the left of the customer name.

  3. Return to the Manage Aliases section and add the Customer ID.


Editing or Removing an Alias:

  • Use the pencil icon to edit.

  • Use the red X to delete.
