Scale Ticket Summary

Generate and review scale ticket totals, dump details, and project tracking data. Export tickets to PDF, CSV, and more.

Introduction:

The Scale Ticket Summary shows all scale tickets for a selected date range. You can filter tickets, view totals, add station and QA/QC data, and export reports in multiple formats. This report supports DOT visibility, field operations, and integration with OnStation (if enabled).

⚠️ Scale Integration is required. Ticket data is pulled directly from the customer's load-out system. FleetWatcher will attempt to match Scale Asset Names and Project Numbers.

  • Missing info may indicate a gap in integration

  • Incorrect info must be corrected by voiding and reissuing the ticket from the load-out system

Go to: MMS > Scale Reports > Scale Ticket Summary.


Use This Report To:

  • 📊 Review ticket counts, tons, loads, and rejected totals

  • 📥 Export ticket data in CSV, tab-delimited, or pipe-delimited formats

  • 🖨️ Print or email single-ticket or multi-ticket PDF reports

  • 🔎 Filter by plant, project, hauler, or custom fields

  • 📍 View or enter Station STA details (manual or via OnStation)

  • 📝 Add notes, accept/reject tickets, or log QA/QC temperatures

  • 🧠 Investigate scale integration issues (unmatched trucks or projects)

📅 Step-by-step Instructions

  1. Set your date range:

    • By default, the report loads today’s tickets

    • Adjust the Ticket start date and Ticket end date

    • Click Generate Report

  2. Choose your output format:

    • Select one of the following:

      • Screen (default)

      • CSV File

      • Pipe Delimited

      • Tab Delimited

    • Clicking Generate Report with a download format selected will trigger a file download

  3. (Optional) Show Full Details:

    • Check Show Full Details to reveal additional columns on screen and in export files

  4. Review the summary totals:

    • Above the table, you’ll see totals for:

      • Net Tons, Gross Tons, Waste Tons, Loads, and Rejected Totals

    • Totals respond to any filters applied


📥 Exporting Reports & PDFs

  • Ticket Limit: The report displays a maximum of 1,000 tickets

    • If more are found, a warning will appear (e.g., 1,000 of 2,345 tickets shown)

    • Use filters to narrow results

  • PDF Options:

    • Tickets PDF = One ticket per page

    • Ticket Report PDF = Multiple tickets per page

  • Availability by Size:

    • 🖨️ Show/Download Report PDF = Enabled for ≤100 tickets

    • ✉️ Email PDF / Email Report PDF = Use for 100+ tickets

      • Sends up to 10,000 tickets

      • PDFs over 1,500 tickets will be split across multiple emails

🧾 Viewing and Updating Scale Ticket Details

Clicking on a Scale Ticket Number opens a detailed, read-only popup with additional ticket fields and editable entries.

In this view, users can:

  • 📝 Edit Notes

    • A blue box next to the ticket number means at least one note is attached

    • Click New Note to add, or view/edit existing notes

  • 📍 Edit Station STA

    • Enter or update Station data manually

  • ♻️ Accept or Reject a Ticket

    • Use the Accept/Reject buttons

    • Click Undo Accept/Reject if needed

  • 🌡️ Enter QA/QC Temperature Values

    • Plant Contractor

    • Plant Inspector

    • Roadway Contractor

    • Roadway Inspector

  • ⚖️ Edit Waste Tons

    • Adjust the Waste Tons value directly

🚫 Ticket data itself (e.g., material weight, source, dump time) is not editable.


🛠️ Resolving Unknown Scale Asset Names

If a Scale Asset Name appears in blue, it means FleetWatcher could not match it to an existing piece of equipment.

This often happens when:

  • The asset has not been added to the Equipment list

  • The scale operator mistyped the truck’s name when issuing the ticket

To resolve it:

  • Click the blue name to open the Assign TruckID to Equipment window

  • Choose the correct Equipment from the dropdown

  • Click Save to alias the TruckID to that Equipment

  • You can also add multiple aliases for a truck by:

    • Going to Manage > Equipment > Add/Edit Equipment

    • Locating the truck and selecting the 'Edit' option

    • Choosing 'Add Alias Name'

    • Inputting the name variation under 'Alias' and saving the changes

✅ Once saved:

  • The blue text is removed on future tickets

  • All past and future tickets are updated with the correct Equipment Name

  • The truck will now appear correctly in all reports

  • It will be removed from the "Untracked Loads" section in the LCA Graph

If the truck isn’t in FleetWatcher yet, go to:

Manage > Equipment > Add/Edit Equipment

🔒 Only user with Equipment Manage, ACL can access this feature.

📁 Legacy: Scale Ticket Detail Report

The Scale Ticket Detail Report is the original, full-column version of the scale ticket view. It displays all available fields for every scale ticket in the selected date range.

This report is still accessible but has been largely replaced by the more flexible Scale Ticket Summary Report.

Use this report if you need:

  • A full list of all scale ticket fields (no need to check "Show Full Details")

  • CSV or PDF export of every available field

  • A legacy layout used by earlier FleetWatcher users

To access: Go to: MMS > Legacy Reports > Scale Ticket Detail Report

🛠️ Resolving Unknown Project Numbers

If a Project Number appears in blue, FleetWatcher could not match it to a known Project.

  • Click the blue Project Number to open the Assign JobID to Project window

  • Select the correct Project from the dropdown

  • Click Save to override the current Project Number

⚠️ This action will change the Project Number for the selected Project in FleetWatcher

✅ Use this only if:

  • The scale tickets have the correct Project Number

  • The FleetWatcher Project was created with the wrong number

🚫 Do not use this if:

  • The scale operator entered the wrong number
    → Instead, have the operator void and reissue the ticket

🔒 Only user with Project Manage, ACL can access this feature.

Assign JobID to Project


📍 Station STA Integration & Manual Entry

  • If OnStation integration is active:

    • When a dump event is detected, FleetWatcher sends the GPS location to OnStation

    • OnStation returns a Station Identifier (STA) for the ticket

    • This data appears in the Station STA field on web, mobile, and reports

  • You can also enter Station STA manually:

    • Available in both the Field App and Web App

    • Enter data in the same way you’d add Notes

    • Entries are logged in ticket history

📤 The Station STA field is visible in:

  • Scale Ticket Summary Report

  • Scale Ticket Detail Report

  • All scale ticket PDFs

  • Custom exports (if added via Define Custom)


Handling Expand Versions (1) Scale Tickets (Astec Loadout Customers)

Customers that use the Astec Loadout system and attempt to edit a scale ticket inside that system, FleetWatcher displays the message Expand Versions (1).

⚠️ Resolve the issue:

  • The original ticket must be voided and reissued.

Developer Note:

“You cannot edit a ticket after printing in Astec. They MUST void and reissue. If they continue to edit the way they are, the current extended view is what is going to happen.”
