How to Create a Dispatch Order (Web)

After activating a shift, you can create a dispatch order that defines truck arrivals, equipment needs, and job details. This article explains how to create the order from the web version of FleetWatcher.

Create a Dispatch Order

This task is completed inside the Dispatch Board workspace.

  1. Select the correct date at the top of the page.

  2. Find the activated shift.

  3. Click Activate.

  4. Click Order.

The dispatch order form will open on the right side of the screen.

The first screenshot is a brand new shift and order.

This screenshot shows what it looks like if the shift has had a previous dispatch order.


Modifying Shift Details

Before beginning the dispatching process, ensure all shift parameters are accurate. If adjustments are needed for the project, foreman, or target KPIs, use the Edit Shift feature.

How to Edit a Shift

  1. Click Activate than Order.

  2. The dispatch window will open on the right side of the screen.

  3. Click the Edit Shift button located in the shift details pane.

  4. Update the necessary fields in the slide-out menu:

    • Shift Info: Shift Name Note, Company, Shift Time.

    • Contacts: Update the Foreman or Manager assigned.

    • Geo-zones: Adjust Source or Destination zones for accurate tracking.

    • KPI Targets: Refine Est. Tons, TPH Crew, or Cycle time.

  5. Click Save Changes at the bottom of the pane.

  6. Continue with Dispatch: Once saved, proceed to set your truck arrival patterns and messaging behavior to begin fulfilling the order.

Change Log: The Shift Change Log was added to the bottom of the Edit Shift window.


Set the Truck Arrival Pattern

  1. Choose Copy Previous, Staggered or Grouped.

    • Copy Previous This option utilizes the same trucks that were assigned to the most recent dispatch for this specific shift.

    • Staggered assigns trucks evenly across time intervals.

    • Grouped lets you enter separate arrival groups.

  2. Enter the Total Trucks needed.

  3. For staggered arrival:

    • Enter the number of trucks per interval.

    • Enter the arrival interval and start time.

  4. For grouped arrival:

    • Add each group and its arrival time.


Enter Job Details:

  1. Select an Equipment Type.

  2. Enter a Mix if the job uses non-ticketed material.

  3. Enter a Location Description (optional).

  4. Review and Adjust the Key Performance Indicators (KPIs) that populate from the shift.

  5. Set the Expected First Load / Dump Time.

  6. Enter Note to Dispatcher

  7. Enter Note to Drivers


Add Dispatch Notes

  1. Enter a Note to Dispatcher if needed.

    • This note is sent to the dispatcher or hired hauler contact.


Submit the Order

  1. When all details are complete, click Make New Dispatch Order.

  2. You will be taken automatically to the Fulfill tab.

Your dispatch order is now created and ready for fulfillment.
