Introduction:
After creating a dispatch order, you can update truck counts, times, equipment, or notes as needed.
Note: A shift may display different labels such as “Order,” “All Filled,” or “X Out of Y.”
You can click the date row in any of these states to open and edit the dispatch order.
Open the Existing Order
Navigation:
MMS > Dispatch > Dispatch Board
From Scheduled Shifts & Dispatch, click the shift date to open the dispatch order.
The order form opens on the right side of the screen.
Users can expand the size of the dispatch order screen.
Hover your cursor over the vertical line between the schedule and the dispatch side panel.
When the resize icon appears, click and drag it to adjust the width of the window.
Your new layout position will save automatically.
Edit Order Details Before Recreating the Order
Certain fields must be updated before creating a dispatch order.
What you can edit here
Equipment Type
Mix
Location Description
KPIs (Target Cycle Time, Target Tons, etc.)
Target First Load / First Dump
Note to Dispatcher / Note to Drivers
Note: KPIs can also be adjusted at any time at the shift level.
If you want your KPI changes to carry into the new order, update them on this screen first.
Recreate the Order (If Needed)
If you need to update the time slots or refresh the order settings:
Scroll down in the right panel.
Click Make New Dispatch Order.
What carries forward
Existing truck assignments
Existing driver assignments
Notes
Mix
Location details
KPI values (if updated before recreating the order)
This ensures you do not lose information from the previous order.
Edit Truck Rows
Click directly on the row you want to edit to update the Arrival Time, Load Time, Equipment Type, Mix, or Notes. Under the "Notes" column.
Click the Pencil (Edit) icon to open the combined Edit this Assignment window.
How to Edit Truck Rows:
Click the Pencil icon (Edit) or Click directly on the row you want to Edit.
Enter the updated information in the popup window “Edit this Assignment”
Click Save Dispatch Assignment.
Delete a Truck Row
Click the trashcan icon to “Delete this assignment row”.
Add New Rows
You can add new rows in several ways:
Duplicate a row: Click the Paper icon to (Make a new row copying this one) create a new row using the same details.
Add a blank row: Click New Blank Row to add an empty row.
Add multiple rows: Click New Rows to insert more than one blank row at a time.
Driver/Truck: (Green checkmark):
On the Order tab a green checkmark displays when a Driver or Truck has already been selected for dispatch.
Hover the mouse over the checkmark to view the truck or driver name.
Clicking on the checkmark will take you to the FulFill tab.
Optional Notes for this assignments:
Add individual location or driver notes by clicking on the Geo Marker or Person icon under “Notes” on the Order or FulFill tabs.
To edit only the Location note: Click the Geo Marker icon to open that specific field.
To edit only the Driver note: Click the Person icon.
Clicking on the Geo Marker icon or Person icon will open the “Edit this Assignment” window from the Order tab.
Use the Optional Notes for this assignment section at the bottom of the window to add individual notes then click Save Dispatch Assignment when finished.
On the FulFill tab clicking the Geo Marker or Person icon will open a single window (for each option) that allows you to add notes individually.
After clicking Save Dispatch Assignment, the Geo Marker and Person icons will change from grey to white inside a solid green box. This visual cue allows you to quickly identify at a glance which assignments have active notes or which drivers have been messaged.
Add or Edit Additional Details from the Order tab:
You can update the following fields at any time:
Target First Load / Dump
Location Description
Dispatch Note
Drivers Note
Target First Load / Dump:
First Load/Dump targets are set at the shift level but can be updated within the dispatch window at the bottom of the Order tab.
To update Target First Load / Dump:
Click “Edit” to the right of the time.
2. Adjust the time by selecting the number and enter the time or select “Show time picker” to select the new time.
3. Click Submit to update.
Add Location Description:
Click “Add Location Description”
Enter the details in the text box.
Click Submit
This message will be sent to all drivers and the Geo Marker icon will update automatically.
Add Dispatch Note:
Click “Add Dispatch Note”
Enter the details in the text box.
Click Submit
The message will be sent to all drivers
Add Drivers Note:
Click “Add Drivers Note”
Enter the details in the text box.
Click Submit
This message will be sent to all drivers and the Person icon on each driver will update automatically.
Color Coding and Icon Description on the Order and Fulfill Tabs
The table shown in the screenshot appears when editing time slots on the Order tab. Each row displays details for an individual truck slot, including:
Color coding on the Order and Fulfill tabs allows you to easily recognize which trucks or drivers have been dispatched.
Yellow (Unfulfilled / Pending Response): Indicates that a time slot remains open, or an assignment is saved but waiting for the driver or third-party hauler to explicitly verify and accept the job request.
Green (Fulfilled / Fully Secured): Indicates a confirmed assignment where the resource is successfully locked into the schedule and ready for the shift.
Save Your Changes in the Fulfill Tab
When you update trucks, drivers, or notes on the Fulfill tab, your changes will not apply until you save them.
Review the updated assignments.
Click Save in the upper-right corner.
If you try to leave the Fulfill tab without saving, you will see a warning:
“You have unsaved changes to an order; Discard changes?”
Click Cancel to stay on the page and save your changes.
Click OK to discard the changes.
Saving ensures all edits are applied to the dispatch order and reflected in notifications and reports.
