How to Request Trucks from External Haulers

Use the Requests tab to request trucks from hired haulers when you cannot fulfill all time slots with your internal fleet. This tab shows all remaining open time slots and lets you send a formal request to an external company.

1. Open the Requests Tab

After activating the order and assigning any internal trucks, select the Requests tab.

At the top of the page, you will see:

  • Total number of trucks ordered

  • Number of slots available for request

Each open time slot appears in a list with the equipment type, mix, arrival time, and load time.


2. Select the Time Slots to Request

Check the box next to each time slot you want to include in the request.

  • Use ALL to select every open slot.

  • Use NONE to clear the selections.

As you select slots, a message appears on the right showing how many trucks will be requested.


3. Choose a Hauler Company

Under the time slot list, open the Select Companies/Haulers dropdown.

  • Choose the company you want to request trucks from.

  • You can search or scroll to find the correct hauler.

The selection summary updates to show which company will receive the request.


4. Send the Request

Select Save New Request.

This creates a formal dispatch request and sends an email and text message to the hauler’s contact on file. The message includes all job details and the list of requested trucks.


5. View Active Requests

After sending, the request appears under Active Requests.

Each active request displays:

  • Number of trucks requested

  • Hauler name

  • Timestamp sent

  • A CANCEL button

Selecting CANCEL removes the request and returns the time slots to the available list.


6. View Previous Requests

Below the active section is Previous Requests.

This shows all requests that were sent and either completed or cancelled.

Each entry includes:

  • Number of trucks

  • Hauler name

  • Date and time the request was created

  • Date and time it was cancelled (when applicable)

This provides a complete record of past communications.


7. How Haulers Respond

The hauler receives a message with a link to approve or deny the request. They can:

  • Approve all

  • Deny all

  • Approve some and enter specific trucks

  • Add details or substitute equipment if needed

Haulers do not need to log in to FleetWatcher to respond.

Once they submit their approval, the assigned trucks are returned to the dispatcher and can be viewed from the Fulfill tab or Actuals.
