Overview
When a company using FleetWatcher needs extra trucks for a job, they can send you a dispatch request. A dispatch request is a message asking your company (the hired hauler) to confirm how many trucks you can send, and which trucks and drivers you're sending.
You do not need a FleetWatcher account or to log in to respond to a dispatch request. You will get a text message, an email, or both, with a link to respond.
The email includes buttons for Yes to all, No to all, and Complete the confirmation form.
The text message includes one link. Clicking it opens the confirmation page, where all three options (including Yes to all and No to all) are available.
Note: Some companies use the word "Broker" instead of "Hired Hauler." In FleetWatcher, these mean the same thing.
How to Accept a Dispatch Request and Add Truck Details
Open the email or text message you received about the dispatch request. It will tell you the job, the number of trucks needed, and the requested arrival time.
Choose how you want to respond:
Yes to all: Approves the request without choosing specific equipment or drivers. Once you click "Yes to all," a confirmation screen appears letting you know you have accepted the request.
No to all: Denies the request. Once you click "No to all," a confirmation message appears letting you know the request was denied.
Note: If you received an email, you can click Yes to all or No to all directly in the email. If you received a text message, click the link to open the confirmation page, where all three options (including Yes to all and No to all) are available.
Confirm Some or Add Details: If you can only send some of the trucks, or you want to add specific truck and driver information:
Click Complete the confirmation form in the email or link from the text message. This opens the confirmation page.
On the confirmation page, click Confirm Some or Add Details to start selecting your equipment and drivers.
Note: The confirmation form allows you to select equipment, drivers, write in asset, or placeholder.
Approving Trucks and Selecting Equipment or Drivers
NOTE: If the company that is hiring you has added your equipment and driver details in their FleetWatcher account, they will appear underneath the rows. Clicking on the equipment number or drivers names will add them to the rows.
Click inside a row to approve that truck for the job. The row turns green, a checkmark appears under "Approve?", and the button updates to show how many trucks you've approved (for example, "Approve 2 Trucks").
You don't have to approve every truck that was requested. If you can only send some, click only the rows for the trucks you're sending. Leave the rest unchecked, then click Approve (#) Trucks when you're ready.
Adding equipment, a driver, a write-in asset, or a placeholder is optional. You can approve a truck first and add these details later, or add them as you go, whichever is easier for you.
If the company that hired you has added your equipment and driver details in their FleetWatcher account, they will appear in a list underneath the rows once you click into a row. Click an equipment number or driver name to add it to that row.
Repeat this for each row. You'll need to click into each row separately (Row 1, then Row 2, and so on) to see the equipment and driver options and make your selections. The options won't appear until you click into that specific row.
Note: Once you select a piece of equipment or a driver, its name turns grey in the list. It stays visible so you can see all your options, but grey text means it's already been assigned to a row.
Adding a Write-In Asset or Placeholder
If your equipment or drivers is not listed click inside the row and it will turn green. Click the word “choose” to open a popup window where you can choose Write in Asset or Placeholder.
You can do this at any time, whether or not your equipment and drivers are already listed under the rows.
Click inside a row. The row turns green. This happens no matter which option you plan to use (equipment, driver, write-in asset, or placeholder).
Click the word "choose" in the row. A popup appears with four options:

Choose a Company Driver
Write in Asset
Placeholder
To select existing equipment or a driver: Click Choose Asset From or Choose a Company Driver. A dropdown list appears. Click the equipment or driver name to add it to the row.
To write in equipment not on your list: Click Write in Asset. A text box labeled "Hired Hauler Asset" appears, with a 50 character limit. Type the asset name, then click Submit. The name will appear in the row.
To use a placeholder: Click Placeholder. The row stays green to show it's approved, but no name appears and the word "choose" remains visible in the row.
Saving Your Progress (Postpone Changes)
If you're not ready to finish your response, click Postpone Changes. A screen will appear confirming your changes were stored, but letting you know they won't be available to the company until you approve them.
To go back and finish your selections:
Click See Details. This takes you back to the approve request screen. The rows will show green, but the equipment and driver names won't be visible yet.
From here, click Yes to all, No to all, or Confirm Some or Add Details.
If you click Confirm Some or Add Details, your previously selected equipment and drivers will reappear in the rows.
Caution: Clicking See Details keeps your saved selections. Clicking Reopen Dispatch Request instead clears the rows completely, even though your original response was stored. Only click Reopen Dispatch Request if you want to start your response over, since submitting again after that will overwrite your original confirmation.
Reviewing and Submitting Your Response
What happens next depends on whether you approved your trucks or postponed your response.
If you clicked Approve (#) Trucks: A confirmation screen will appear. Click See Details to view a summary of the trucks you selected. This is a read-only view. From here, the only option is Reopen Dispatch Request.
Caution: If you click "Reopen Dispatch Request," the rows will appear blank, even though your original response was already saved. If you make new selections and submit again, this will update and change your original confirmation on the company's side. Only click "Reopen Dispatch Request" if you intend to change your response.
If you clicked Postpone Changes:
A screen will appear confirming your changes were stored, but letting you know they won't be available to the company until you approve them. Click See Details to go back to the approve request screen and continue editing. The rows will show green, but the equipment and driver names won't be visible until you click Confirm Some or Add Details, which will bring your previous selections back.
When you are finished, submit your response. The company will see your confirmed trucks and driver details on their end.
The hired hauler will receive a confirmation email or text message for Approved and/or Denied dispatch requests.
Notes and Additional Details
You do not need to create a FleetWatcher account or log in to respond to a dispatch request.
If you received a text message only, use the link in the text to open the confirmation page. Yes to all and No to all are available there, not as separate links in the text itself.
Once you select a piece of equipment or driver, its name turns grey in the list. This just means it's already assigned to a row, not that something went wrong.
Clicking See Details keeps your saved selections. Clicking Reopen Dispatch Request clears the rows and will overwrite your original response if you submit again, only use it if you want to start over.
If the request is missing information (like the job location or number of trucks needed), contact the company directly. They control what's included in the request.
If you don't receive a request you were expecting, check with the company. This is usually caused by a setup issue on their end, not a problem with your phone or email.
After approving, See Details shows a read-only summary, the only option from there is Reopen Dispatch Request, which clears the rows and will overwrite your response if you submit again. After postponing, See Details takes you back to an editable screen where your selections are preserved.
