Setting Up Inspection Reports

Configure Checklists and Enable Inspections for Your Fleet

Introduction:

Inspection Reports allow drivers and mechanics to perform digital inspections using the FleetWatcher Driver App.

Before inspections can begin, an Administrator must set up and assign inspection checklists in the web platform.


Step 1: Open the Inspection Reports Page

  1. From the main menu, navigate to Fleet → Maintenance → Inspection Reports Review.

  2. In the top-right corner, click the Checklist box.

This opens the Checklist Management window where you can view, create, or edit inspection checklists.


When Inspection Reports are first enabled, a default vehicle checklist is automatically included. This checklist is based on the JJ Keller inspection standards that many companies already use. It provides a solid starting point for customers, especially those new to digital inspections, and covers common DOT-related items such as brakes, tires, lights, and fluid levels. The default checklist can be used as-is, or modified to better fit the company’s specific inspection needs—allowing administrators to customize without building a new checklist from scratch.


Step 2: Create a New Checklist

  1. Click the red + New button in the top left corner.

  2. Enter a descriptive name for the checklist (for example, “Truck Pre-Trip” or “Yard Equipment Inspection”).

  3. Choose whether the checklist applies to Equipment Only or Equipment & Trailer.

  4. Click Create to save the checklist.

The new checklist will now appear in your list of available checklists.


Step 3: Add Inspection Items

  1. Click on the name of your new checklist to open it.

  2. Click the red + Item box in the top left corner.

  3. Enter the Item Name (for example, “Brakes,” “Lights,” or “Hydraulic Lines”).

  4. Optionally, include instructions to guide users performing the inspection.

  5. Click Create to add the item.

  6. Repeat this process until your checklist is complete.

Trainer Tip: Keep checklist items concise and action-based.

Example: “Check brake fluid level” instead of “Brake system.”


Step 4: Edit or Delete Checklist Items

  • To edit an item, click directly on the item name to open the Edit Inspection Item window.

    • Make your changes and click Submit to save.

  • To delete an item, check the box beside the item and click the trash can icon at the top of the page.

You can also rename or delete the entire checklist:

  • Click the three-dot menu (⋮) in the top right corner.

  • Choose Edit Checklist or Delete Checklist.

  • Confirm deletion if prompted.


Step 5: Assign Checklists to Custom Equipment Types

After you’ve built your inspection checklists, you’ll assign them to the correct equipment types.

  1. Navigate to Manage → Equipment → Add/Edit Custom Equipment Types.

  2. Select the equipment type you want to update.

  3. In the editing window:

    • Set Inspections = Yes to enable inspections for that equipment type.

    • Select the appropriate checklist from the Inspection Checklist dropdown.

  4. Click Save to confirm.

All equipment linked to this Custom Equipment Type will now use the assigned checklist when inspections are performed in the Driver App.


Step 6: Verify Setup

Once you’ve saved your changes:

  • The assigned checklist will appear for that equipment type in the Driver App.

  • Drivers and mechanics will be able to perform inspections using that checklist.

  • Any items marked Fail will appear as Needs Attention in the Inspection Reports Review table.


Best Practices

  • Create a single “master” checklist if your fleet uses similar inspection criteria across multiple equipment types.

  • Use descriptive checklist names (e.g., Truck Inspection – DOT or Loader Inspection – Yard Use).

  • Review checklists regularly to ensure they reflect your company’s safety standards.

  • Limit editing access to administrators to maintain inspection integrity.


Common Questions

Q: Can I assign more than one checklist to a single equipment type?

A: Not currently. Each Custom Equipment Type can be linked to one inspection checklist.

Q: Why don’t my drivers see their checklist in the app?

A: Check that the Custom Equipment Type has Inspections = Yes and a checklist selected. Without both settings, inspections won’t appear.

Q: Can I copy an existing checklist to create a new one?

A: Not yet, but this enhancement is being considered for future updates.

Q: Can I disable inspections for an equipment type later?

A: Yes. Simply return to Add/Edit Custom Equipment Types, set Inspections = No, and click Save.
