Introduction
Inspection Reports allow your team to document equipment defects directly from the FleetWatcher Driver App.
Once an inspection is submitted, any failed items appear as Needs Attention in the web platform.
Fleet managers or mechanics can then review and resolve those items to confirm the issue has been addressed.
Step 1: Open the Inspection Reports Page
From the main menu, navigate to Fleet → Maintenance → Inspection Reports Review.
The Inspection Reports Review table lists all submitted reports, including their status and condition.
Look for reports labeled Needs Attention — these contain failed inspection items.
Tip: Use filters in the top-right corner to quickly find reports that need follow-up:
Condition: Needs Attention
Report Type: Pre-Trip or Post-Trip
Checklist: Choose a specific checklist if multiple are used
Date Range: Daily, Weekly, Monthly, etc.
Step 2: Review the Report Details
Click any row labeled Needs Attention to open the inspection report.
In the report view, you can toggle between:
Summary View: Displays only defective items.
Full Report: Displays all checklist items, notes, and photos.
Review the driver’s notes and attached photos for each failed item.
Trainer Tip: The Summary View is ideal for mechanics or managers focused only on unresolved issues.
Step 3: Resolve the Report
Once the issue has been inspected or repaired, you can resolve it to update the report status.
In the top right corner of the inspection report, click Resolve.
Enter Repair Notes describing what was done (e.g., “Headlight replaced and tested”).
Add your signature to certify that the issue has been corrected.
Click Resolve to finalize the update.
After saving, the report condition automatically updates to Resolved.
Step 4: Verify the Resolution
The driver’s original signature and the mechanic’s signature both appear in the report.
The condition column in the Inspection Reports Review table now shows Resolved.
You can open the resolved report at any time to review both signatures and resolution notes.
Trainer Tip: Mechanics should always add a brief repair description. This creates a clear audit trail for compliance and record keeping.
Step 5: Print the Report
If you need a record for safety or compliance documentation:
Click the printer icon in the top right corner of the report.
A PDF version will generate that includes:
Inspection details
Driver and mechanic signatures
Notes and photos of defective items
Save or print the PDF for your records.

Resolve each Needs Attention report as soon as possible to maintain compliance.
Encourage mechanics to add detailed notes for all resolved issues.
Use the Summary View to quickly locate unresolved defects across multiple inspections.
Regularly export resolved reports for safety audits or internal reviews.
Common Questions
Q: Who can resolve inspection reports?
A: Only users with appropriate Maintenance or Admin permissions in FleetWatcher can resolve inspection reports.
Q: Can I edit or delete an inspection report?
A: Reports cannot be edited once submitted. Managers can delete reports only if they were created in error.
Q: What happens if I mark an item “Resolved” by mistake?
A: Simply reopen the report and use your notes section to clarify. Once marked Resolved, the report remains locked for compliance integrity.
Q: Can I resolve multiple reports at once?
A: Not at this time. Each inspection must be resolved individually to include proper notes and certification.
