Performing Inspections – Driver App (Mechanics)

Complete inspections on parked or non-assigned equipment

Introduction

Mechanics, fleet staff, and yard personnel can perform inspections on any piece of equipment — even if it’s not being driven — using the FleetWatcher Driver App.

This method allows you to record inspection results, add notes and photos, and submit certified inspection reports without starting a trip.


Step 1: Start a New Inspection

  1. Open the FleetWatcher Driver App.

  2. Tap the three-dot menu (⋮) in the top right corner of the home screen.

  3. Select New Inspection.

This opens the manual inspection workflow — no driving required.

Tip: Use this option for yard inspections, post-repair checks, or safety audits.


Step 2: Select Equipment and Trailer (if applicable)

  1. From the Equipment Number dropdown, choose the asset you are inspecting.

  2. If the equipment includes a trailer, select it as well.

  3. Tap Start Inspection to continue.


Step 3: Complete the Inspection Checklist

Each checklist item includes three response options:

  • Pass – The item is in good condition.

  • Fail – The item has a defect or needs repair.

  • N/A – The item does not apply to this inspection.

To record details for a failed item:

  1. Tap the row to open the Report Defect window.

  2. Add a description of the problem.

  3. Tap the camera icon to add a photo using your device’s Camera or Gallery.

  4. Tap Done to save and return to the checklist.

Trainer Tip: When documenting repairs or known defects, always include a photo for clarity — it helps managers confirm corrective action.


Step 4: Enter Readings and Equipment Condition

  1. Enter the current Odometer or Hour Meter values, if available.

  2. Answer the question at the bottom:
    “Is the condition of the above equipment satisfactory?”

    • Tap Yes if all issues have been addressed.

    • Tap No if the equipment still requires attention.

  3. Tap Next in the top-right corner to proceed.

If No is selected, the report will appear as Needs Attention in the web platform for follow-up and resolution.


Step 5: Sign and Submit the Inspection

  1. Review the confirmation statement at the top of the page.

  2. Sign your name in the Signature box.

  3. (Optional) Toggle Save Signature to store your signature for future use.

    • You’ll be prompted to verify with Face ID or a password.

  4. Tap Submit in the top-right corner.

A green checkmark and a confirmation message will appear once the inspection has been successfully submitted.


Step 6: What Happens After Submission

  • The inspection automatically uploads to the FleetWatcher web platform.

  • Fleet managers can view it under Fleet → Maintenance → Inspection Reports Review.

  • If the condition was marked Needs Attention, it will be flagged for review or repair documentation.

  • Once submitted, inspections cannot be edited — they become part of the permanent inspection record.


Best Practices

  • Use this inspection method for shop-based or non-driving equipment.

  • If performing a post-repair check, include “Post-Repair” or the repair type in the notes for clarity.

  • Make sure all inspections are synced before closing the app (requires network connection).

  • Add detailed notes whenever defects are corrected so managers can verify completion in the web platform.


Common Questions

Q: Can mechanics inspect equipment that a driver is currently operating?

A: No. The Driver App prevents duplicate inspections on equipment that is actively assigned to another driver.

Q: Are these inspections visible to the driver?

A: Mechanics’ inspections appear in the same Inspection Reports list on the web platform, but drivers only see their own last completed inspection in the app.

Q: What if the equipment doesn’t appear in the list?

A: Contact your FleetWatcher Administrator. The equipment type may not have inspections enabled.

Q: Can I use the camera if the device doesn’t have service?

A: You can take photos, but inspections require a network connection to submit successfully. Offline inspections are not yet supported.
