Introduction
Fleet managers and administrators can review all submitted inspection reports from the FleetWatcher web platform.
This page allows you to track daily inspection activity, identify issues that need attention, and export reports for compliance and record keeping.
Step 1: Open the Inspection Reports Page
From the main menu, navigate to Fleet → Maintenance → Inspection Reports Review.
The page displays a table listing all inspection reports submitted by your drivers or mechanics.
Each row shows:
Submitted date and time
Condition (Satisfactory, Needs Attention, or Resolved)
Equipment Number / Type / Trailer (if applicable)
Defective Items
Report type (Pre-Trip or Post-Trip)
Checklist name
Submitted By

Step 2: Use Filters to Narrow Results
At the top of the page, use the available dropdown filters to find specific inspections.
Filters include:
Date Range: View reports by day, week, or month.
Condition: Satisfactory, Needs Attention, or Resolved.
Equipment: Individual pieces of equipment.
Equipment Type:
Report Type: Pre-Trip or Post-Trip.
Checklist: Filter by the checklist used.
You can combine filters — for example, Needs Attention + This Week — to locate all inspections that still require follow-up.
Tip: Use the Condition = Needs Attention filter to identify inspections with failed items that need to be resolved.
Step 3: Open and Review an Inspection Report
Click any row in the table to open that inspection report.
Choose between two display modes:
Summary View – Shows only defective or failed items.
Full Report – Shows all checklist responses, photos, and signatures.
In the report details, you’ll see:
Driver or mechanic name
Equipment and trailer information
Date and time of inspection
Odometer and hour meter readings
Notes, photos, and signatures
Trainer Tip: Use the Summary View to focus on problems quickly, then switch to Full Report for audit details.
Step 4: Resolve or Review Status
Inspection reports appear under one of three conditions:
Satisfactory – No issues found during inspection.
Needs Attention – Defective items reported by the driver or mechanic.
Resolved – Defects were repaired and marked as complete.
If a report is marked Needs Attention, click the row to open it and review all failed items.

Step 5: Export or Print a Report
Each inspection report can be downloaded for recordkeeping or audits.
Click the printer icon in the top-right corner of the report.
A PDF version will generate automatically.
Save or print the file as needed.
The PDF includes:
All inspection responses
Photos and notes
Driver and mechanic signatures
Resolution details (if applicable)
Tip: If your organization performs regular safety audits, export reports weekly or monthly for easier record storage.

Limit report deletion to Admin users only to preserve inspection history.
Common Questions
Q: Why can’t I see inspections for certain vehicles?
A: Check that inspections are enabled for that vehicle’s Custom Equipment Type. Only those with Inspections = Yes will appear in the report list.
Q: Can I edit a driver’s inspection report?
A: No. Inspection reports are locked once submitted to maintain compliance accuracy.
Use the Resolve feature to add repair notes and a signature instead.
Q: Can I export multiple inspections at once?
A: Not currently. Each inspection must be exported individually as a PDF.
Q: Who can delete inspection reports?
A: Only users with Admin permissions can delete reports, and only if they were created in error.
