Performing Inspections – Driver App (Drivers)

Complete your daily equipment inspections in the FleetWatcher Driver App

Introduction

Drivers use the FleetWatcher Driver App to perform pre-trip and post-trip inspections.

These digital reports ensure safety, compliance, and accurate maintenance tracking for your fleet.

This article explains how to complete inspections, add notes or photos, and submit signed inspection reports.


Step 1: Start Driving to Begin an Inspection

  1. On the Driver App home screen, tap Start Driving.

  2. Once driving has started, the New Inspection button becomes active.

  3. Tap New Inspection to begin your inspection.

  4. The truck or equipment number will automatically fill in based on your assigned vehicle.

Tip: If you see a message that says “No checklist for equipment”, contact your FleetWatcher Administrator.

This means a checklist hasn’t been assigned to your equipment type yet.


Step 2: Choose Inspection Type

  1. On the New Inspection screen, select either:

    • Pre-Trip – before your shift begins

    • Post-Trip – after your shift ends

  2. Tap Start Inspection to open the inspection checklist.


Step 3: Complete the Inspection Checklist

Each item in the checklist has three options:

  • Pass – The item is in good condition.

  • Fail – The item has a defect or needs attention.

  • N/A – The item does not apply to this vehicle.

To record details for a failed item:

  1. Tap the row to open the Report Defect screen.

  2. Enter a short description of the issue.

  3. Tap the camera icon to add a photo from your Camera or Gallery (optional).

  4. Tap Done when finished to return to the checklist.

  5. Continue marking all remaining items as Pass, Fail, or N/A.

Trainer Tip: Add photos for any major or safety-related defects. This makes repairs easier to verify later.


Step 4: Enter Readings and Confirm Condition

Once all checklist items are complete:

  1. Enter the current Odometer and/or Hour Meter values.

  2. At the bottom of the screen, answer:
    “Is the condition of the above equipment satisfactory?”

    • Tap Yes if no repairs are needed.

    • Tap No if the vehicle requires attention.

  3. Tap Next in the top-right corner.

If No is selected, the report will appear as Needs Attention in the web platform for maintenance review.


Step 5: Sign and Submit the Inspection

  1. Review the confirmation statement at the top of the screen.

  2. Sign your name in the Signature box.

  3. (Optional) Toggle Save Signature to store your signature for future inspections.

    • The app will prompt you to confirm with Face ID or a password for verification.

  4. Tap Submit in the top-right corner.

You’ll see two confirmations:

  • A green checkmark showing Inspection Submitted.

  • A message at the top of the main screen confirming successful submission.


Step 6: Understanding What Happens Next

  • Once submitted, the inspection is automatically uploaded to the FleetWatcher web platform.

  • Drivers cannot edit or delete inspections after submission.

  • If you made an error, simply perform a new inspection and note the correction in the comments section.

  • Any inspection marked as Needs Attention will be visible to fleet managers for resolution.


Best Practices

  • Perform Pre-Trip and Post-Trip inspections daily.

  • Report all failed items immediately to reduce unplanned downtime.

  • Save your signature if you complete multiple inspections each day.

  • Keep your device connected to the network; offline inspections are not currently supported.


Common Questions

Q: I tapped “Start Driving,” but the New Inspection button is still gray.

A: Wait a few seconds after starting your shift. The button becomes active once the app recognizes your driving status.

Q: Can I see past inspections in the app?

A: Drivers can only access their most recent inspection using the Last Inspection option in the main menu.

Q: I marked an item as Fail by mistake. Can I change it?

A: Not after submission. You’ll need to perform a new inspection and note the correction.

Q: Why doesn’t my checklist match my vehicle?

A: Checklists are assigned by equipment type. Contact your administrator if you think the wrong one is applied.
